Most families first encounter the phrase and wonder what IBA means, whether it matters, and how to check. Short answer: it matters a lot for reimbursement, and yes, it is easy to verify. What IBA Approval Actually Is
IBA stands for the Indian Banks' Association – the industry body of Indian banks. IBA maintains an approved list of packers and movers that Indian banks trust for employee relocations. To get on this list, a mover must submit financial documents, GST registration, service infrastructure details, insurance capacity and past service records. IBA reviews and issues an approval number valid for a defined period, typically renewable annually.
Being IBA approved is a signal that the mover has been vetted for basic financial stability, tax compliance and operational capacity. It does not guarantee zero mistakes on your move – but it does mean the mover exists as a real business with accountability.
Why Companies Insist on IBA-Approved Movers
Companies reimburse employee relocation only against invoices from vetted vendors. IBA-approved status is the standard vendor-vetting mark banks and large corporates rely on. If you use a non-IBA mover, your HR or finance team may refuse the reimbursement claim entirely, or reimburse only up to a policy cap regardless of actual bill.
Government and PSU employees have similar policies, often requiring IBA approval and sometimes additional certifications like ISO 9001 or MSME registration. What IBA Approval Does Not Guarantee
Being IBA approved does not automatically mean a mover is the best choice for your move. It means the mover meets a minimum documentation and financial threshold. Actual service quality still varies within the IBA-approved pool. Always check reviews, ask for a video survey, and get a written quote regardless of IBA status.
Also, IBA approval does not automatically include transit insurance. That is a separate product. If you want your goods covered against transit damage, ask for transit insurance in the quote – do not assume IBA approval covers it.
How to Verify a Mover is Genuinely IBA-Approved
Ask the mover for their IBA approval number and the current validity date. Cross-check by requesting a scan of the IBA approval certificate. A genuine approval will have the IBA seal, an approval number, the mover's registered business name, and validity dates. Some movers claim IBA approval verbally but cannot produce documentation – that is a red flag.
The mover's registered business name on the IBA certificate should match the name on your invoice. If the invoicing entity is different from the IBA-approved entity, your reimbursement claim can be rejected.
Beyond IBA: Other Certifications That Matter
ISO 9001 certifies the mover has documented quality-management processes. MSME registration confirms the mover is a registered small or medium enterprise, which unlocks certain government contract eligibility. GST registration is mandatory for any business above ₹20 lakh turnover – without it, your reimbursement claim is invalid regardless of IBA status.
